Copa: In your opinion what is the element in any event that makes it special for your clients and their guests?
Stephanie: In my opinion, the element in any event, that I feel makes the event special for my clients and their guests are the décor items!! Decorations ARE EVERYTHING when it comes to planning and putting on a fabulous event!! The décor that one uses for their event can make or break their event. Either your guests are going to love it or hate it. It is important that when one considers decorations for their event, they also consider the type of theme for the event. When my clients walk into a room I want them to GASP at what they see!!! I want my clients to feel excitement and joy when they walk into a room. I want my clients to have the type of excitement that makes them feel ecstatic and ready to welcome their guests into their event. Whether it’s event lighting, high centerpieces, flower walls, etc. your decorations for your event should speak to the type of event that you are planning.

Copa: Please describe the importance of interpreting your client’s ideas and translating them into the execution of a fabulous event?
Stephanie: As an event coordinator it is very important that I listen to what my client says they want for their event. I need to be able to take what they say and transform that into the vision that they want for their event. I need to be able to listen, translate, create and execute my client’s vision. I take my job as an event coordinator serious and part of my job is to execute everything that my client wants. Because the interpretation stage of planning an event is so important, I make sure that I get ALL details for my client’s vision for their event at our 1st consultation appointment. Depending on the type of event, sometimes my clients look to me to create the vision. You get 1 SHOT at doing the BEST job that you can do for your clients so you got to make this 1 time count!

Copa: We understand the importance of indoor or outdoor events with weather permitting but how are both situations and which would you prefer?
Stephanie: Both indoor & outdoor events can be beautiful, it all depends on what the client or you, yourself want. Either way, which ever you decide make sure that your theme can be execute in the matter that you want. Also depending on the time of the year and weather permitting, you may want to be sure to have a PLAN B in the event your event is an outdoors event.
I personally like indoor venues that give you that outside feel. I like plenty of natural lighting for events during the day and plenty of up lighting for events at night. Sometimes, less is more and you can do a lot more with a gorgeous flower arrangement, a very simple set of linens and some great indoor or outdoor lighting, whether it is candles, chandeliers or up lighting.

Copa: Are Weddings and their receptions really the most challenging events? If so, why?
Stephanie: I think that wedding ceremonies and receptions can be the most challenging event for a Wedding Coordinator. The reason that weddings can be so challenging is because you, the Coordinator are planning one of the most important days in a couple’s life. Women often dream of their wedding day long before the day actually happens. So when the Coordinator meets a new Bride & Groom, the bride mostly, will come to the table with all the ideas that she may have had for her wedding that go as far back as when she was a little girl. Not to mentioned all of the family expectations that are put on the couple; the expectations of family traditions, additional ceremonies, etc. There are so many emotions that a bride and groom may go through during the course of planning their wedding and all contracts, vendors, venue issues, guest list problems, etc. go through the Wedding Coordinator. This is a BIG responsibility, so yes at the end of the day this is the most challenging type of event to coordinator, because if anything goes wrong on the day of the Wedding, whether it’s the Coordinator’s fault or not, the Coordinator will get the BLAME!!!!!

Copa: To date, what was your most complex event to carry out?
Stephanie: To date my most complex event that I have carried out as a Coordinator is producing my own Bridal Expo & Bridal Fashion Show. As the Coordinator YOU DO IT ALL!!! You get the, venue, the vendors, the models, the designers and the attendees. You have to market the event, create the tickets, bring in volunteers to help out with the event, create the décor for the event and in most cases you host the event!
